Situation:

A large drug-testing company stores their testing kits at the American Solutions for Business distribution center, in Glenwood, MN. The distribution center receives daily files detailing where to ship the kits. Each kit includes a UPS return label for the user to send the completed test back to the customer via next-day air. To comply with HIPAA privacy laws, the customer updated their system so that the tester’s name and date of birth are encrypted on a barcode label. This label is applied to the test by the tester and then scanned into the system upon receipt.

Solution:

To achieve this, ASB assembled a dedicated team to manage the complex tasks required for the project. The Cyber Security Team prioritized PHI and HIPAA compliance, ensuring all necessary documentation was completed to safeguard the privacy of individuals receiving the kits.

A specialized station was established in the distribution center, where employees undergo thorough training on the labeling system and HIPAA regulations. They retrieve password-protected, customer-supplied files, scan them into the system, and assemble kits with encrypted labels and UPS return labels. At the end of each day, any unused labels are securely destroyed, ensuring data protection throughout the process.
